Several of my larger clients have escow accounts set up with the county recorder with all of my employees authorized to use the account. When I get a new client that I expect a substantial volume from, I send them the instructions of opening the account and have never had anyone balk. I've done it this way for many years, and it works out very well. Most of them send a check for each recording, but if it is over/under the actual charge, the adjustment is made in the escrow account. No bookwork for me. All copy charges are just taken out of the escrow account. When it gets low, they just send the recorder a new check.
Not all of our counties ofter this service, but we use it where we can get it.
