Administrative Coordinator
This position may function as a receptionist as well as providing administrative support to locations and/or management of RedVision.
ESSENTIAL DUTIES AND RESPONSIBILITIES:
1. Assist in editing and preparing miscellaneous correspondence, spreadsheets, and PowerPoint presentations.
2. Provide administrative and secretarial support including copier projects, mail handling, and internal and external communications.
3. Research and book travel itineraries, accommodations and transportation.
4. Assist with meeting services, including scheduling meetings and coordinating with guests, preparing meeting materials and/or presentations. Operating autonomously, assure participants have planned for their attendance and are updating the calendar as required. Manage conference room schedules or assist in finding appropriate conference room space.
5. Provide cross support to other operations and administrative staff as needed.
6. Processes incoming and outgoing mail and packages to include special delivery services as needed.
7. Responsible for the tracking and ordering of office and kitchen supplies.
8. Depending on work locations, the Administrative Coordinator may also perform the following additional duties:
◦ Greet persons entering the Company, determine the nature and purpose of their visit, issue visitor passes and or escort for them to reach specific destinations.
◦ Maintain calendars for management.
◦ Participate in meetings by taking meeting notes and distributing them to all attendees.
◦ Assist and train in development of less experienced administrative staff.
◦ Cover phones as needed.
9. Perform other duties and responsibilities as assigned.

This position is located in Carle Place, NY.
EDUCATION/EXPERIENCE
Required:
· Minimum 6 months experience in administrative support role
Preferred:
· Two years of college or equivalent

· Functional knowledge of Microsoft Office systems
· Effective verbal and written communication
· Ability to multi-task and prioritize projects
· Organizational and time management skills
· Ability to maintain confidentiality regarding sensitive information
