I agree with Scott's idea. We pretty much follow the same proceedure.

One way to avoid this in the future is to make sure there is no mis-communication between you and your client before the first order is every received. That there is a clear understanding of the fees that you charge and that the copies are either included in the price or that the copies are an extra charge. Good luck. Jay
