First of all, I want to applaud you for stepping up and responding to the concerns of your vendors. I just wish more clients would do the same, as it would certainly clear up any misunderstandings and avoid "bad blood" between clients and vendors.
I did want to respond, however, to your concern about copy charges. I can't speak for anyone else here, but the reason our company marks up copies is two-fold: first, it covers our handling fees, faxing, postage, etc., as we do not invoice such expenses as separate line items on each search.
Second, since we pay for copies up-front and bill on a thirty-day cycle, the extra charge also compensates us for time between when we pay for them and when we are finally reimbursed.
I hope that clarifies the reasons we mark up copy costs. Trust me, we're not getting rich on copy charges by any stretch of the imagination.
