When it comes to copy fees, I always make a point to ask any new/potential clients if they need a flat fee (copies included) or if they will pay for the copies they want. Also be specific as to what exact copies they want - don't just guess. If they want extra, always call and tell them it will be extra before driving to that county and pulling them so they know exactly what they are getting into (take names too - if some billing issue might come up you have someone who they can talk to that ordered the extras). That has made my job a lot easier when it comes to getting paid for those pesky copies. As long as I know what they will pay for up front, I can give them a more accurate quote as to what the price will be. I will also say there are times I have ended up eating the copy cost here and there, not that I like to do that, but it is sometimes more of a hassle to get paid for that $4.00 than it is worth. Just remember to keep your receipts and you can always write off that expense at the end of the year!!!
