Whatcom County, Wash., has initiated electronic recording (e-recording) of land record documents, such as deeds and mortgages, with Simplifile, the nation’s largest and fastest-growing e-recording service provider. “E-Recording is the next step to improving efficiency in the recording process,” said Whatcom County Auditor Debbie Adelstein. “E-Recording speeds up the process for our customers, eliminating the time required to deliver the document to the recorder’s office and wait for its return. Documents can now be transmitted, recorded, and returned to the customer in the space of a few minutes. Customers also have the option to transmit documents on their schedules rather than waiting for our office open hours.”
Adelstein added that eliminating the steps required in handling paper documents helps the county manage their budget through improved work process and reduced staff time, and it also helps improve customer service.
“Our goal is to encourage as many of our customers as possible to make use of e-recording for those documents not requiring the Treasurer’s excise stamp,” Adelstein said. “A process for electronically processing excise documents is in the planning stages, at which time all documents could be recorded electronically. Eventually we hope to see a majority of our documents recorded electronically.”
Simplifile’s e-recording service also eliminates mail costs, check-writing, and other expenses associated with traditional, paper document recording.
“By automating the process electronically, the number of errors and rejections are also significantly reduced,” said Paul Clifford, president of Simplifile. “Most importantly, the customer retains control throughout the entire process by being able to submit, track and receive notification of recorded documents and secure payment processing online through Simplifile.”
Thousands of customers throughout the nation use Simplifile’s service every day to submit documents for e-recording in nearly 900 counties, and many have found that moving toward a more paperless work environment has positively impacted their business.
“All that is needed to begin submitting documents to Whatcom County electronically is a scanner and Internet access,” Clifford said. “It’s simple, easy to use, and provides a more convenient, secure option for companies who need to record documents.”
In addition to Whatcom County, Simplifile’s e-recording service is available in 17 other recording jurisdictions in the state of Washington, including King, Pierce, Snohomish, Spokane, and Clark counties.
